Good Practice

The regulations say that data must be ‘processed lawfully, fairly and in a transparent manner in relation to individuals’.

We receive information from our clients and their associates who wish to employ our services for graphic design, marketing communications, exhibition and event planning, photography including drone filming, sales coaching, advertising, PR, social media, copywriting, and web development. We will use the information to contact you via telephone, video link, email and other forms of communication. We do not request any personal data from you other than to carry out our business activities legitimately. We do not pass on any personal data to third parties unless it is in line with our business activities and we have permission to do so.

 

Keeping Data Safe

The regulations say that ‘data processed in a manner that ensures appropriate security of personal data, including protection against unauthorised or unlawful process and against accidental loss, destruction or damage, using appropriate technical or organisational measures’.

 

Any personal data collected is stored on a computer system and is password protected and only authorised personnel have access to the data. The computer is password protected and passwords are changed on a regular basis to ensure security. Any computer equipment is kept in a locked office when not in use and only those authorised have access to the information. Back-up systems are to the cloud as well as on a hard drive. Hard copy is kept securely in a locked cabinet. 

 

As part of our legitimate business activities we keep data electronically of your name, address, telephone numbers, email addresses and other personal and business information in line with our business. Any manual records that we may have which are no longer required are destroyed by shedding or burning. In the event of any breach of security and data lost then those effected will be informed immediately and a report sent to the Information Commissioner’s Office.

 

Keeping Information Accurate And Up-To-Date

The regulations say that data ‘must be accurate and, where necessary, kept-up-to-date; every reasonable step must be taken to ensure that personal data that are inaccurate, having regard to the purposes for which they are processed, are erased or rectified without delay’.

 

At Pink Wahoo Limited we will ensure that all the information we hold for you is correct and accurate including spelling of names, company names, addresses, email addresses and telephones and any other information required to carry out our business activities.

 

At the initial point of contact we will check the information supplied is accurate and correct. If any of the information you have furnished us with is incorrect, you have the right to contact us and request that this is corrected. Upon any errors being identified we will correct these immediately and inform you that the information has been corrected.

Any request to rectify any inaccuracies can either be put in writing, email or telephone. 

 

Processing Data For Limited Purposes

The regulations say that ‘kept in a form which permits identification of data subject for no longer than is necessary for the purposes for which the personal data are processed solely for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes subject to implementation of the appropriate technical and organisational measures required by the GDPR in order to safeguard the rights and freedoms of the individuals’. 

 

Any information we are privy to when carrying out our business activities are kept confidential. Due to the nature of our business we may hold these records to contact you for marketing purposes at a later date and to inform you of new services that may be of interest. If at any point you do not wish to receive any marketing information including newsletters, new services etc., a request can made be either email, letter, telephone call or other means of communication and we would delete records we hold for you. 

 

We delete any computer and manual records that are no longer needed for business purposes by deleting data off of computers and any manual records are shredded or burnt.

 

Sharing Of Personal Data

Under no circumstances do we share/sell your personal data with any other companies for the purposes of marketing/direct sales. Any marketing will be done under Pink Wahoo Limited under this privacy notice and you may opt out at any time. We may contact you directly with information regarding our business activities or vital information regarding our business.
